Paylocity Review 2026: HR, Payroll, Finance and IT on One Platform
Payroll in one tool, HR records in another, expenses somewhere else and IT access in a spreadsheet. Paylocity wants to replace all of it with one platform built on a single employee record. Here's what each of its four sides does, what it costs to find out the price, and who it actually fits.

Quick answer
Paylocity is an all-in-one platform that runs HR, payroll, finance and IT for companies from a handful of employees to several thousand. Its pitch is simple: one login and one employee record instead of five tools that don't talk to each other. Pricing is quote-based, so you'll need a demo to get a number.

How I researched Paylocity
I haven't run my own company's payroll through Paylocity, so I'm not going to pretend I have. This review comes from two places. First, Paylocity's own product walkthrough, which I recorded as a sponsored video covering all four sides of the platform. Second, Paylocity's own product, pricing and small business pages, which I read on October 19, 2026 to check every feature and plan name below.
Where a number comes from Paylocity's case studies or marketing, I say so.
What is Paylocity?
Paylocity is a unified platform that connects four sides of your business: HR, payroll, finance and IT. Most growing companies end up with payroll in one tool, HR records in another, expenses somewhere else and IT access in a spreadsheet. Then finance reconciles all of it by hand at the end of the month.
Paylocity's answer is to put all of it on one system, built around a single employee record. When someone gets hired, that one record feeds payroll, benefits, expense policies and the laptop and logins IT needs to set up.
According to Paylocity, more than 40,000 organizations use the platform. It was originally known as a payroll company, but today it's much more than an HR tool.
Who Paylocity is for (and who it isn't for)
Paylocity splits its customers into three groups: small businesses with 1 to 99 employees, midsize businesses with 100 to 499, and enterprises with 500 or more.
Pick Paylocity if:
You're paying for separate payroll, HR, expense and IT tools, and your team re-types the same data between them
You're an HR manager buried in repetitive admin and compliance updates
You're an HR director who needs hard data to show leadership what HR is delivering
You're a controller or CFO who wants spend on the same system that manages your workforce
You expect to grow and don't want to switch platforms at 100 or 500 employees
Look elsewhere if:
You're a very small team that only needs to run payroll a few times a month. A simpler payroll-only tool will be faster to set up.
You want to see a price before you talk to sales. Paylocity only quotes after a demo.
Your main problem is scheduling and communicating with a deskless or shift-based team. An app built for that, like the ones in my employee management app breakdown, will fit better.
Paylocity's four core products
1. HR
Paylocity's HR side covers onboarding, employee records, benefits, talent, performance and learning. For HR teams, this is the daily workspace.
Here's what sits under HR:
Core HR: employee records, employee self-service and a compliance dashboard
Time and labor: time and attendance, scheduling and time collection
Talent: recruiting, onboarding, performance, compensation and a learning management system
Benefits: benefits administration, flexible benefits and retirement
Employee experience: a mobile Community feed, recognition and rewards, video and employee surveys
The Community feed is the part that stands out. It's a social-style feed inside the app, so company updates actually reach employees who never open their work email.
2. Payroll
Paylocity's payroll is connected directly to HR, so employee data flows straight through without manual reconciliation. Hours, dollars and labor allocations come in from Time and Labor, and the system flags employees who need prorated or retro pay.
According to Paylocity's published case study, GLS Logistics processed payroll five times faster because the data was connected.
Key payroll features, checked on Paylocity's payroll page:
Payroll Readiness Dashboard that highlights critical tasks before processing day
40+ audits that flag potential errors, like an unexpected pay spike
Four-step submit flow with built-in review tools
General ledger mapping you can update without calling Paylocity
Tax services with tax geolocation that checks each employee is taxed for where they actually work
On Demand Payment, so employees can get paid before payday
Garnishment managed services
Global payroll for paying domestic and international employees from one system
AI-powered expense management connected to HR workflows
On Demand Pay is included on the small business plans, which is a nice extra for hourly teams.
3. Finance
Paylocity for Finance brings accounts payable, procurement, corporate cards, expenses and headcount planning onto the same platform that holds your workforce data. Think about that for a controller or CFO. Most spend management tools can't tie a purchase back to the employee record.
What's included:
Expense management with AI receipt capture, transaction coding and reimbursement in the employee's local currency
Corporate cards, either your existing cards or Paylocity-issued cards with policy controls and cash back
AP automation from vendor onboarding and invoice processing to approvals, payments and ERP syncing
Guided procurement that walks employees through purchase requests
Headcount planning shared between finance, HR and recruiting
Paylocity says clients report up to 40% less fraud and waste and up to 22 hours a week saved. Those are Paylocity's own figures, so treat them as an upper bound rather than a promise.
4. IT
Paylocity for IT uses the employee record to provision accounts and equipment when someone is hired and revoke access when they leave. For IT teams chasing offboarding chaos, this is hours back every week.
Here's what it does:
Access management: syncs HR and IT directories, with single sign-on and multi-factor authentication
Prebuilt identity integrations with Google Workspace and Microsoft Entra ID, plus a SCIM API for custom setups
Asset management: assign and track laptops, keycards and specialty tools
Device ordering through an integrated store powered by CDW
Automated returns, warranty repairs and refresh cycles
This is the part I find most interesting. Payroll and HR suites are common. Very few of them also handle who has access to which systems and which laptop.
The platform layer underneath
Underneath the four products, Paylocity has a set of platform capabilities that every side shares. In the walkthrough I covered five of them.
AI (Ignite AI)
Ignite AI is Paylocity's AI layer, and it shows up in three ways: automation, insight and an assistant.
Automation: AI runs repetitive workflows in the background, routes approvals and flags payroll anomalies before they become problems.
Insight: instead of dumping data on you, it surfaces questions like why turnover is climbing in one region, or which managers have the lowest engagement.
Assistant: employees ask about pay, benefits or time off without filing a ticket, and HR and finance leaders pull reports in plain English.
Paylocity also offers purpose-built AI agents you can turn on from an agent library, with dashboards to see what they're doing. In recruiting, for example, the AI summarizes resumes, prefills onboarding forms and kicks off IT device and access provisioning.
Mobile app
Paylocity is built mobile-first. Managers approve time off, expense reports, time cards and schedule changes with a tap, and push notifications nudge the right person at the right time. Managers can build and edit schedules from their phone. New hires can do pre-boarding from anywhere: signing compliance documents, uploading IDs and setting up direct deposit before day one.
Integrations
Paylocity has open APIs and a marketplace. Its enterprise page lists 400+ integrations. So if you run specialized tools alongside it, you're not locked into a closed system. That's a concern I hear a lot from HR directors and IT leaders.
Analytics and reporting
You get real-time dashboards and configurable reports. If you're in the C-suite trying to measure what your people strategy is delivering, this is the part of the platform you'll spend the most time in.
Workflows
End-to-end automation runs across all four sides. Onboarding a new hire stops being five separate processes. It becomes one workflow that touches HR, payroll, finance and IT at the same moment. Paylocity's NWEA case study credits automation with freeing up 1,200 hours.
How much does Paylocity cost?
Paylocity doesn't publish prices. You request a quote through a free demo, and the price depends on your employee count and which products you pick. I checked the pricing page on October 19, 2026, and it's a form, not a price list.
What Paylocity does publish is its small business plan structure, for companies with 1 to 50 employees:
Plan | What's included | Highlights |
Express | Payroll + employee experience | Payroll and tax support, employee self-service, On Demand Pay included |
Enrich (most popular) | Payroll + HR + Time + General Ledger | HR management, time and attendance, payroll-to-GL visibility |
Elite | Payroll + HR + Time + Talent + Compliance + Expense | Talent tools, compliance management with E-Verify, expense management |
Current offer: Paylocity is running a promotion that gives eligible new payroll clients one month of free payroll, plus free W-2s for 12 months during the first phase. Terms and eligibility apply, so confirm on the demo call.
Midsize and enterprise customers get custom quotes based on the modules they need across HR, Finance and IT.
Paylocity pros and cons
Pros
One platform and one employee record for HR, payroll, finance and IT
IT provisioning and asset management built in, which most HR suites don't offer
Finance tools (AP, cards, procurement) on the same system as payroll
Strong mobile app with approvals, scheduling and pre-boarding
AI built into the platform, with an assistant employees can ask about pay and time off
Scales from small business plans to enterprise without switching platforms
Open APIs and 400+ integrations
Cons
No public pricing. You have to book a demo for a number.
The full platform is a lot for a very small team that only needs payroll
Finance and IT modules are add-ons, so the all-in-one setup costs more than payroll alone
Case study results are Paylocity's own numbers, not independent benchmarks
Paylocity alternatives
If you're comparing, here's how Paylocity's scope lines up against other tools I've covered.
Tool | Built as | Pick it if |
HR, payroll, finance and IT in one platform | You want to replace several systems with one employee record
Employee app for deskless teams | You need scheduling, time clock and team chat for shift workers. See my Connecteam review
Work management with HR workflows | You want flexible boards and AI agents for hiring. See monday.com for HR |
Paylocity is the only one of these that runs payroll, spend and IT access. The others are better seen as tools you'd connect to a payroll provider, not replace it with.
My final take
If your HR, payroll, finance and IT are running on five different systems, Paylocity is one of the most complete platforms in the category. The pieces that set it apart are the finance and IT sides: very few HR platforms also handle corporate cards, AP and laptop provisioning off the same employee record.
The tradeoff is that you won't see a price until you talk to sales. My advice is to go into the demo with your employee count, the tools you'd replace and what you pay for them today, so you can compare the quote directly.
